Secretary Job Description

Since ASUCH acts as a fiduciary for student money, we have a legal obligation to keep complete records of general meetings.
All meetings are tape-recorded and archived. In addition, the Secretary manually records roll call, service hours worked for each member, important discussion items, and the modifications to and results of motions, and votes, in response to resolutions at each meeting. The secretary should commit to attending each meeting. In his absence, he should prepare a trained substitute to execute these duties.
Final forms of resolutions must be posted to the MyHastings website within two days and forwarded to all members of ASUCH as well as the student body. The sponsoring ASUCH member is responsible for executing the provisions of the resolution.
The Secretary also regulates debate regarding resolutions, by listing those who wish to speak for or against a measure, on the blackboard. Members will indicate for-or-against positions by a raised hand, which will be open for "for" and closed for "against". Once the representative speaks, her name shall be crossed out.
Other duties:
Accept and review resolutions submitted by members for proper form. Resolutions must be submitted one week in advance in order to be included in the agenda and forwarded to ASUCH membership as received.
The Secretary shall prepare the agenda and forward to each ASUCH member by the Sunday evening preceding the next meeting. Resolutions shall be pasted into the end of the agenda.
In addition, the Secretary shall forward the agenda to the entire student body via ASUCH email at the same time, the Sunday evening preceding the next meeting.
Emergency resolutions, or those received past the deadline, must be copied and submitted by the sponsor rather than holding the agenda for these items. Members must approve consideration of emergency resolutions at the meeting by a 2/3 vote of members present.
